The Role
The role of the Administrative and Project Support Assistant will provide a diverse range of support for the general administrative functions of the business and project related activities including, preparation of documents and reports, compiling records, scheduling meetings, organising and maintaining information, coordinating calendars, analysing data, website maintenance, responding to enquiries and escalating and redirecting issues as required.
The Admin and Project Support Assistant will report to the Management Team to support the Members of the Association and the Board of Directors.
Candidates must be eligible to work in the EU-this is a full-time on-site position based in Brussels, Belgium
Key Responsibilities
- Provides general administrative support to ensure efficient operations, and contributes to team effort by accomplishing related results as needed. Provides support for meetings and events, including organisational activities, agenda drafting, travel arrangements and minute taking
- Prepares presentations and other documents in support of the needs of the Management Team and Board of Directors, including branding, proof-reading, and formatting
- Supports the Management Team with a range of administrative tasks through reporting, tracking, monitoring, and clear communication with the Management Team
- Maintenance of website content
- Management of diverse projects to support the needs of the business
- Organise and tracking of annual policy updates
- Preparation of internal management information, development and maintenance of reports
- Recording and maintenance of information related to the ANNA Membership in CRM
- Responding to internal and external queries and requests and escalation where required
- Assisting with communications with ANNA members and Industry participants contacting ANNA
- Some travel may be required.
Key Skills and Industry Experience
- High School diploma, degree or equivalent education welcome
- Strong written and verbal communication skills essential
- 3 years of administrative assistant experience in financial services
- Experience with WordPress and website maintenance
- CRM management and maintenance experience
- Experience in financial services reference data
- Understanding of the financial services regulatory framework is a distinct advantage
- Project management and delivery experience
- Knowledge of appropriate software including: Microsoft Word, Excel, SharePoint, Outlook, PowerPoint and Adobe Acrobat
- Languages: English – fluent verbal and written, other languages an advantage

About ANNA
The Association of National Numbering Agencies (ANNA) is a global member association seeking to foster standardisation within the financial industry by upholding the International Organization for Standardization (ISO) principles and by promoting ISIN, FISN and CFI codes for financial instruments. This is done through ongoing, collaborative work with market participants, regulators and other standards bodies.
At the heart of ANNA are the member National Numbering Agencies (NNAs), responsible for ISIN, FISN and CFI assignment and maintenance, who are the central point for knowledge in their jurisdictions and are able to assist their local communities and help elevate any local challenges or concerns to the international level. Once NNAs have assigned the identifiers and their associated data, ANNA works to consolidate the global data set via a centralised depository, the ANNA Service Bureau, ASB, to maintain data quality and build global interoperability.
ANNA is the registration authority for two ISO standards: the International Securities Identification Number (ISIN), a code that uniquely identifies a financial or referential instrument, as well as the Financial Instrument Short Name (FISN), which provides essential descriptive information about an instrument in the form of a human readable alias.
